What "dedicated" means here

Infrastructure that is not shared with anyone else

Public Cloud is a shared, EU-hosted service and it is the right answer for most portfolios. Private Cloud exists for the cases where sharing is the problem — because of procurement rules, governance, scale, or a requirement to hold the data yourself.

One monthly subscription, no per-unit overage

Private Cloud is a single monthly figure, net of VAT, with no per-property, per-unit or per-GB overage on top of it. That figure, the Public Cloud plans it should be weighed against, the one-off onboarding package and the hourly rate for consulting and training are all published in the same place.

Who a Private Cloud deployment is for

It is a deliberate step up in cost, so it should answer a requirement you can name. These are the requirements it usually answers.

White labelling

Your corporate identity, not ours

Every account can already brand its generated documents: logo, colour scheme and font sizes are applied to PDFs such as the per-client rebilling sheet, so a tenant receiving a statement sees the landlord, not the software.

Private Cloud extends that to the deployment itself. Logos, colour schemes, fonts and corporate identity elements can be applied across the interface, so the system your staff and your clients open every morning looks like part of your organisation.

This matters most when you are the back office for someone else. A managing agent handing a login to an owner, or a billing provider handing a rebilling sheet to a tenant, is presenting their own service — the software should not interrupt that.

Scope

Every module is included

On Public Cloud, portfolio management is the core and the rest are optional modules priced per month. On Private Cloud there is nothing to select: the full functional surface is part of the deployment.

That means portfolio management from the cadastral parcel down to individual rooms and common spaces; rental contracts, bailment agreements and early termination contracts with their pricing and notification deadlines; the full utility metering and rebilling pipeline with sub-meters, supplier invoices, allocation formulas and per-client rebilling sheets; the technical asset register; the invoicing and accounting integrations; and the revenue, consumption and investment analyses.

Platform capabilities come with it: multiple legal entities per account, per-account SMTP so tenant email leaves from your own domain, an interface in English, German and Romanian, and background processing and caching for large portfolios.

Getting there

How a Private Cloud deployment is set up

The sequence below is the normal path. Nothing here is automated self-service — a dedicated environment is provisioned deliberately, and we would rather talk to you first.

  1. Scoping conversation

    We look at portfolio size, user count, document volume, which legal entities exist, and any data residency or procurement constraints you have to satisfy. If Public Cloud is the honest answer, we will say so.

  2. Environment provisioning

    The dedicated environment is provisioned in the EU data centre, with its backup and failover infrastructure, redundancy and monitoring in place before any of your data is loaded into it.

  3. Branding and configuration

    White labelling is applied, legal entities and area units are set up, per-account SMTP is connected to your mail domain, interface languages are chosen, and roles and access controls are shaped to your organisation.

  4. Data setup and training

    The onboarding package covers account setup, four hours of on-site staff training including travel, plus up to five phone consultations and ten email exchanges within the first six weeks.

  5. Mirroring and handover

    Database and storage backups are mirrored to your site or office, and the operating rhythm starts: 24/7 monitoring on our side, an agreed SLA for intervention, and a named contact address for everything else.

Onboarding and hourly work

Onboarding is the same package on both deployments, and it is a one-off. Work that falls outside the SLA — consulting, training, change requests — is billed by the hour at the published rate.

Enough for a management company with field staff reading meters, back-office accounting, and read-only accounts handed to owners or auditors who should look but not edit.

Portfolio-scale document storage

Document and asset storage for contracts, supplier invoices, meter photographs, cadastral extracts and technical asset documentation across the whole portfolio.

A 4h / 24h response commitment

Maximum four hours to intervention during working hours, maximum twenty-four hours outside them, backed by round-the-clock monitoring of the dedicated environment.

What is included in the Private Cloud plan?

A dedicated single-tenant deployment in a secure EU data centre with dedicated resources, backup and failover infrastructure, high availability and redundancy, 24/7 monitoring, an SLA, and white labelling. All functional modules are included, along with a user count and document storage sized for a whole organisation and unlimited data transfer. It is one monthly subscription, excluding VAT, published on the pricing page.

Where is the data stored?

In a secure data centre inside the European Union, on resources dedicated to your deployment. In addition, database and document storage backups are mirrored to your own site or office, so a copy of the record — portfolio, contracts, meter readings, invoices and documents — exists on premises you control. Details of storage and processing are set out in the data processing agreement.

What does the SLA cover?

The Private Cloud SLA commits to a maximum intervention time of four hours during working hours and twenty-four hours outside working hours. The dedicated environment is monitored 24/7, so incidents are normally detected before they are reported. Consulting, training and change requests outside the SLA are billed at the hourly rate shown on the pricing page.

Can the system carry our own branding?

Yes. Every account can apply its logo, colour scheme and font sizes to generated PDFs such as the per-client rebilling sheet. Private Cloud adds white labelling across the deployment itself: logos, colour schemes, fonts and corporate identity elements, so owners and tenants see your organisation rather than ours.

How does Private Cloud differ from the Public Cloud subscription?

Public Cloud is the shared, EU-hosted service, with a base plan, optional modules priced per month, and per-unit overage beyond the Extended plan. Private Cloud is a dedicated instance: single-tenant infrastructure, all modules included, higher limits, white labelling, mirrored backups and a contractual SLA. Both are priced on the pricing page.

Can we move from Public Cloud to Private Cloud later?

Both run the same application, so the functional surface and the data model are identical. Moving is a scoped piece of work rather than a switch in an account settings screen: contact us and we will plan the provisioning, configuration and cutover, and quote any onboarding or consulting time at the published rates.
