Before you write

What a useful first message contains

There is no discovery-call script waiting at the other end. The more concrete your first message, the faster you get an answer worth reading.

Tell us the shape of the portfolio: how many properties, roughly how many housing units, whether it is residential, commercial or mixed-use, and how many legal entities own it. Those four facts decide which plan and which modules are relevant, and they take one sentence.

Then tell us what is actually painful. "Our ancillary cost statement takes six weeks in Excel and nobody can reconstruct the numbers a year later" is a better brief than "we would like a demo". Utility rebilling, contract deadlines and multi-entity ownership are the three problems this product was built around, and we will say plainly if yours is not one of them.

If you are comparing systems, say which ones. We would rather tell you where a competitor fits your case better than sell you a module you will not use. This is a focused specialist product, not an enterprise suite, and it is easier for everyone if that is clear early.

Seven visible fields and one consent box. Required fields are marked and announced to screen readers as required, validation messages are plain sentences tied to the field they concern, and there is a hidden anti-spam field that no person ever sees.

The form accepts no attachments. If you want us to look at a rent roll, a supplier invoice or an existing ancillary cost statement, email it and say in the message that it is on its way.

We reply to this address only. A private address is fine — many of our users are private owners.

If you administer your own buildings as a private owner, write "private".

Choosing a topic routes the message to the person who can answer it, rather than to a first-line queue that forwards it anyway.

One consent box, one purpose

The box is unticked when the page loads and cannot be pre-ticked. Ticking it covers answering your enquiry and nothing else: it is not a subscription, and nothing on this page feeds an advertising network or a third-party lead tool.

What happens to what you type here

The form collects the minimum needed to answer you. Nothing on this page feeds an advertising network or a third-party lead tool.

  • Consent is explicit and unticked — the consent box is empty when the page loads and cannot be pre-ticked, and submission is blocked until you tick it yourself
  • Purpose limitation — your details are used to answer your enquiry and to keep a record of the correspondence — they are not sold, not passed to advertising partners and not enriched from third-party data sources
  • Retention — enquiries that do not lead to a contract are deleted once the correspondence is closed and any legal retention period has passed; if you want yours removed sooner, say so and it will be
  • Your rights — you can ask for access to, correction of, or deletion of your data, and you can withdraw consent at any time — one email is enough, with no form and no justification required

What happens next

Four steps, with no automated sequence in between. The timings below are what we aim for, not a contractual response time.

  1. Confirmation

    The page confirms immediately and a copy of your message goes to the address you gave, so you have a written record of what you asked and when you asked it.

  2. Routing

    Your chosen topic decides who reads it. Rebilling and migration questions go to the people who wrote that part of the system rather than to a first-line queue that forwards them anyway.

  3. A written answer first

    We answer in writing before proposing a call. Most scope, pricing and migration questions are settled in one exchange, and a written answer is something you can forward to a colleague.

Can I send documents with my enquiry?

Not through the form — it accepts no attachments. Send rent rolls, supplier invoices or an existing ancillary cost statement to real-estate-management@webservices-engineering.de instead, and mention in the form that they are on their way. Documents help most when the question is about utility rebilling or migration.

Is there a phone number?

No published hotline. Leave a number and a time window in the form and we arrange a call. Written answers come first for a reason: most questions about scope, plan allowances, allocation keys or migration are settled in one written exchange that you can forward to a colleague afterwards.
